Allen County Clerk Office
The official office name is the Clerk of the Allen Circuit and Superior Courts. Allen County uses a unified clerk structure, so the same elected office supports Allen Circuit Court and Allen Superior Court rather than splitting trial court records between separate county and district clerks. Christopher M. Nancarrow is the Clerk. The Clerk's public office material says he began his first elected term in 2019, had served as Chief Deputy Clerk, and was the first attorney to serve as Allen County Clerk of the Court.
The Clerk is the public record hub for the county's Indiana trial courts. The office keeps permanent historical records, administers case files for civil, criminal, family, probate, traffic, and small claims matters, issues marriage licenses, prepares certified copies, and handles court money. The Clerk's office reports more than 50 employees, more than 60,000 new cases processed each year, and more than $107 million in annual financial transactions for courts, litigants, child support, judgments, fines, fees, and costs.

Allen County Clerk Duties
The Clerk's work is broader than document storage. In Allen County, the office makes Chronological Case Summary entries, receives filing fees and court costs, issues court process, and maintains the Judgment Docket and Record of Judgments and Orders. The Clerk also oversees record maintenance and microfilming, collects and distributes child support payments, disburses judgment money, and generates jury duty notices. These duties matter for record access because the Clerk is often the only office that can confirm the official case file, current court balance, or certified copy status.
Case filing and document work runs through the Clerk for Civil, Criminal, Family Relations, Probate, and Small Claims cases. The office also issues arrest warrants, commitments, jailer's releases, protective orders, service of process, writs, and other court documents when ordered through the court system. A user who sees a public case entry in Indiana MyCase may still need the Clerk when the document itself is not linked online, when an old case predates easy online access, or when a legal recipient needs a certified copy rather than a screen print.

The Clerk copy-cost page was captured in the image set for this project from the official copy request instructions.
Those instructions are the local source for the copy channels, payment wording, and certification fees used when requesting Allen County Clerk records.
Allen County Clerk Copy Channels
Allen County court copies can be requested through several channels. Central Services is the main copy unit for records held by the Clerk. In-person users go to Room 201 at the Allen County Courthouse during copy hours. Mail requests go to the same division. Email questions and requests go to copyrequest@co.allen.in.us, and copy questions can be directed to 260-449-7890. The main Clerk counter in Room 200A remains the general office contact for trial court records and related Clerk services.
The Clerk also supports online copy requests, including marriage license copy requests. Mail requests need payment by check or money order payable to "Clerk of Allen Circuit Court" and should include a self-addressed stamped envelope for the return. The Clerk's records material says Allen County records date back to 1824, but retrieval time can vary by the age and type of record. Older or non-automated records may require index review or staff retrieval instead of instant online access.
| Channel | Use it for | Local detail |

Request Certified Allen County Copies
A certified copy is a court document copy authenticated by the Clerk for legal use. Employers, courts, agencies, Social Security matters, name changes, probate transfers, and out-of-county filings may require certification. A public online document or MyCase printout is useful for reference, but it is not the same as a certified copy from the office that keeps the official record.
- Identify the case or record. Use the case number if known, or provide the full names of the parties and the case type.
- Describe the document. State whether the request is for a decree, order, judgment, filing, marriage license, probate document, or other record.
- Say whether certification is needed. Add the request for certification before payment is calculated.
- Choose a request channel. Use the Clerk's online request, email, mail, or in-person Central Services counter.
- Pay the copy and certification cost. Mail requests use a check or money order payable to Clerk of Allen Circuit Court.
- Arrange return or pickup. Mailed returns require a self-addressed stamped envelope.
Certified copy rule: Ask for certification before the Clerk prepares the copy if the document will be used for court, employment, Social Security, agency filing, or another formal purpose.
Allen County Request Fields
The Clerk's copy instructions focus on practical identifiers rather than a long public form. A strong request names the parties, describes the document, states whether certification is needed, and gives the Clerk a way to respond. When a case number is missing, names and case type become more important. If the request is for an older marriage license or a non-automated file, give as much date and name detail as possible.
| Field or item | Required | Notes |
|---|---|---|
| Names of parties | Yes | Include party names, decedent names, spouse names, or case names as applicable. |
| Case number | Helpful | Use the exact Indiana case number if available from MyCase or prior papers. |
| Document description | Yes | Describe the order, decree, judgment, license, filing, or record requested. |
| Certification request | Optional | Required only when an authenticated copy is needed. |
| Requester email or message | Yes for email | Include enough contact information for cost and fulfillment questions. |
| Payment | Yes | Payment is required before fulfillment. |
| Self-addressed stamped envelope | Yes for mail return | Required when requesting mailed copies. |
Allen County Clerk Fees
The Clerk's copy fee schedule is specific and should not be replaced with a generic court-fee estimate. Plain copies are charged by the page. Certification is a separate amount added to the page cost for each certified document. The Clerk cites Indiana Code 33-37-5-1 and 33-37-5-3 for certification fees, and states that Indiana law requires the page-copy charge. Online payment options also exist for civil, copy, felony, and traffic or misdemeanor payments, but a current case balance should be checked with the Clerk because MyCase financial data can lag later interest, charges, or adjustments.
| Item | Official amount or note |
|---|---|
| Plain copy | $1.00 per page. |
| Certification | $3.00 per document in addition to page cost. |
| Marriage license recorded before 1980 | Payment amount may vary. |
| Online payments | Civil, copy fees, felony, and traffic or misdemeanor payment routes are linked by the Clerk. |
| Current financial balance | Contact the Clerk for an official current balance. |
Allen County Clerk Records Access
The Clerk's record role connects with Indiana's statewide public access system. MyCase is the first search channel for many public Allen County civil, criminal, small claims, traffic, probate, and domestic relations cases. It can show case numbers, court, county, parties, events, hearings, financial entries, and some documents. Indiana court guidance also says MyCase is not the official record. The official record must come from the court or Clerk that maintains the file.
Some records are not displayed online even when they are public at the courthouse. Older records may not have online document links. Juvenile, adoption, sealed, expunged, protection order, and certain family or mental health records may be restricted by the Indiana Rules on Access to Court Records, Indiana Code 31-39, Indiana Code 35-38-9, or a court order. For non-court county records, Allen County uses NextRequest under Indiana Code 5-14-3, but the county public-records route sends marriage, divorce, wills, and family court records back to the Clerk.
Note: For official Allen County court records, use the Clerk even when a search result first appears in MyCase.
